Medical Secretary (Oncology) - Fixed Term Contract
15th October 2024We are currently recruiting for a medical secretary for one of our consultants in the oncology department. This role is offered as a full-time and fixed term opportunity for a period of six months.
Purpose of Post
Be the first point of clinic contact for patients and referrers. Respond confidently to enquires, be welcoming and responsive to patient calls and queries. Offer a premium administrative service in a caring, professional manner ensuring all aspects of administration are carried out in accordance with hospital/department standards.
Duties & responsibilities
Patient Interactions
- Answer all telephone calls / return messages.
- Book appointments (clinic / tests / procedures).
- Register patients on clinic system.
- Deal appropriately with queries / follow through.
- Deal with referral letters to consultants / follow through.
Clinic Preparation
- Ensure all files are available for clinics, including new as required.
- Ensure that referral letters have been triaged.
- Check for tests required at clinic visit / tests results since last visit
- Retrieve hospital notes as required.
- Confirm patient’s attendance in advance.
Sitting Clinics
- Meet and greet patients.
- Prepare patient invoices and process payments.
- Make bookings for tests / admissions as requested.
- Arrange future appointments.
- Follow up on DNA.
- Retrieve relevant test results for consultants attention.
- Type clinic and follow up letters.
- Send files to MPH scheduling / admissions for forthcoming investigations / treatment.
- Track charts.
Professional qualifications, essential skills & knowledge
- Good standard of education – Leaving Cert or equivalent.
- Sound knowledge, awareness and experience of administration.
- Excellent typing skills, medical typing essential.
- Previous experience of managing, running and follow up of consultants clinics.
- Excellent IT skills and computer literacy (in particular MS Word, Excel, Outlook, internet usage). Knowledge of iSoft System an advantage as is a proven ability to use multiple systems.
- Excellent interpersonal and communication skills with an awareness and sensitivity towards patient needs.
- Excellent organisational skills with a proven ability to multi-task and work under pressure.
- Effective telephone technique with strong listening skills.
- Ability to work well as part of a team and as an individual.
- Discretion and ability to use own initiative.
- Previous experience in a similar role in a health care setting essential.
